Hiring and onboarding can be exhausting, especially in today’s competitive job market, where top talent is scarce and highly sought after. This challenge is even more pronounced for Raiffeisenlandesbank OÖ, one of Austria’s major banking institutions, with approximately 2,188 employees and managing assets totaling around € 49,3 billion.

Coordinating diverse departmental needs, ensuring compliance with rigorous financial regulations, and maintaining effective communication across fragmented systems adds significant complexity to their hiring and onboarding processes.

The Challenge: Overcoming Fragmented Hiring and Onboarding Systems

Raiffeisenlandesbank OÖ’s various entities and departments have different needs, making it challenging to consistently find the right talent and deliver an aligned onboarding experience, even with established guidelines. This complexity is intensified by the extensive legal documentation required in financial technology to ensure regulatory compliance before new hires can begin working.

Moreover, fragmented data spread across multiple, non-integrated software systems—such as Excel, Word, and email—results in scattered information, poor visibility for leadership, unclear roles, and inefficient processes prone to errors.

sclable was tasked with designing a streamlined, digital system and data model to optimize and enhance the hiring and onboarding process.

Through a dedicated five-day design sprint focused on Data and System Architecture design, we tackled the challenge by first identifying the target audience, creating personas, and defining behavior groups. We mapped out their tasks, challenges, and data needs—analyzing when information is received, where it is stored, and how it’s utilized—to fully understand the existing digital ecosystem and legacy systems.

This comprehensive analysis enabled us to optimize workflows and processes, resulting in a future-proof, aligned, and structured data and system model that significantly streamlines hiring and onboarding.
